While this Google Sheets calendar template is created with project teams in mind, any individual or team that needs to map tasks in a calendar can use it. Simply follow the steps below to learn how to use it for scheduling your project.

How to Use This Calendar Template for Google Sheets

First, open the Google Sheets calendar template in a new tab by clicking the image below. By default, the template will only be available in read-only mode, which means you’ll need to make a copy of your own before you can edit it.

This Google Sheets calendar template has the traditional format you’d expect from a calendar, but it will be used to map the tasks in your project plan. Customize it by adding extra rows and columns, adjusting their size or anything else you need to do to adjust it to the particular needs of your team.

Here are some simple steps for using this Google Sheets calendar template to manage your team’s work.

1. Create a Task List

Before you can use the calendar template for Google Sheets, you’ll need to have a list of tasks and their due dates. Here’s an example of a typical task list with due dates and task durations. You can use our Google Sheets Gantt chart template to create one.

2. Add Tasks to the Calendar

To add the first task to your calendar, identify its start date. Then go to that date in your Google Sheets calendar template and write down the task name. For this example, let’s use the task “Create Budget,” which is scheduled to start on June 3rd and end on June 6th. So first, add the task name to the corresponding start date as the image shows below.

3. Visualize Task Duration

Now we’ll extend this task over the calendar from its start date to its end date, so you can use the calendar to measure its duration. To do so, click on the bottom right corner of the cell where you entered the task name and hold your left-click. Then drag the selected cell up to the June 6th cell, and then release the left click. Once you do so, your calendar should look like this.

4. Color-Code Tasks

As you can see, the task now extends from Monday, June 3rd to July 6th, which are its due dates. Now you might want to add some color to these cells, so it’s easier to identify each task from one another. You might also color-code your tasks to help you identify who’s assigned to them, or to what project or department within your organization it belongs to.

5. Add Extra Rows

By default, this Google Sheets calendar template has five rows for each day of the month. If you need to add more tasks, click the last row of a day and click “insert row above.” You might add as many spaces as you need.
